The Wine Club Coordinator will play a pivotal role in managing and growing the winery's wine club, delivering an exceptional experience for club members, and driving customer loyalty. This individual will be responsible for overseeing all aspects of the wine club program, including member communication, order fulfillment, event coordination, and overall member satisfaction. The ideal candidate will have a passion for wine, excellent organizational skills, and the ability to foster strong relationships with club members, all while supporting the winery's brand and values.

Responsibilities:

  • Manage day-to-day operations of the wine club, including member enrollment, renewals, and communications.
  • Develop and execute strategies to grow and retain wine club membership, ensuring a high level of member satisfaction and engagement.
  • Coordinate quarterly and annual wine club shipments, ensuring accurate order processing, packaging, and timely delivery.
  • Maintain and update the wine club database, ensuring all member information is accurate and up-to-date.
  • Create and send engaging communication to wine club members, including newsletters, exclusive offers, event invitations, and product updates.
  • Develop and coordinate exclusive wine club events, such as private tastings, virtual tastings, and member-only gatherings, both at the winery and virtually.
  • Foster strong relationships with wine club members by providing personalized service, addressing inquiries, and resolving any issues or concerns promptly.
  • Collaborate with the marketing team to develop promotional materials and campaigns to promote wine club sign-ups and renewals.
  • Track and report on key performance metrics, including membership growth, retention rates, and sales goals, providing regular updates to management.
  • Ensure wine club orders are processed accurately and in compliance with applicable state and local alcohol laws and regulations.
  • Manage wine club inventory, ensuring sufficient stock of wines for shipments, events, and member orders.
  • Work with the tasting room team to offer personalized recommendations and exclusive experiences for wine club members during their visits.
  • Assist with the development of special wine club-exclusive offers, such as limited releases, discounts, and unique merchandise.
  • Collaborate with the sales team to ensure wine club members are offered opportunities for upselling and product exposure.
  • Provide input on pricing strategies, product selections, and membership benefits to enhance the overall wine club experience.
  • Perform other duties as assigned to ensure the smooth operation and success of the wine club program.

Qualifications:

  • Bachelor’s degree in Hospitality, Marketing, Business, or a related field (or equivalent experience).
  • 2+ years of experience in customer service, marketing, or hospitality, ideally in the wine or beverage industry.
  • Strong passion for wine and knowledge of wine styles, regions, and the winemaking process.
  • Excellent communication and interpersonal skills, with the ability to build and maintain relationships with wine club members.
  • Exceptional organizational skills, with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Proficiency in CRM systems and other related software; experience with wine club management platforms is a plus.
  • Ability to think creatively and develop engaging content and promotions for wine club members.
  • Strong attention to detail, particularly when managing member data, shipments, and inventory.
  • Knowledge of state and local alcohol regulations and experience with compliance is a plus.
  • Availability to work weekends, holidays, and occasional evenings for special events.
  • Ability to lift and carry up to 50 lbs. and perform tasks such as organizing shipments and event setups.
